The challenge
A busy inbox full of pricing questions, use-case questions, onboarding requests and meeting requests — each needing a different, accurate reply.
My role
Designed and built the full n8n workflow, AI prompts and routing rules.
How the system works
- 01Gmail trigger fires on a new email and fetches the full message
- 02The sender is looked up in Airtable and upcoming Google Calendar events are pulled in
- 03An LLM chain decides whether the email needs a reply
- 04A Master AI Agent reads the company knowledge from Google Docs and classifies the email
- 05A Switch routes it: pricing, question, use case, onboarding, meeting, misc or no answer
- 06A dedicated AI chain writes the reply for each type and replies in the Gmail thread
- 07Meeting requests check calendar availability, then reply with times or create the event
